TL;DR 🦀 There is a rich toolkit for developing WebAssembly with Rust. It's fun! 🤝 WebAssembly and Next.js play fairly well together, but be aware of the known issues. 🧑‍🔬 Xor filters are data structures that provide great memory efficiency and fast lookup for value existence. 🧑‍🍳 WebAssembly's performance and code size are not guaranteed. Make sure to measure and benchmark. I always knew I wanted a full-text search feature for the articles in my to provide the visitors with quick access to the content they are interested in. After migrating to Contentlayer, it doesn't seem to be so far-fetched anymore. So I started exploring🚀 portfolio Inspired by : A WebAssembly Full-text Search Engine tinysearch After some researching, I found a search engine called . It's a static search engine built with and (Wasm). The author Matthias Endler wrote about how came about. tinysearch Rust WebAssembly an amazing blog post tinysearch I loved the idea of constructing a minimalistic search engine at build time and shipping it in optimized low-level code to the browsers. So I decided to use as the blueprint and write my own search engine to integrate with my . tinysearch Next.js static site 's codebase. It's very well-written. My search engine's implementation is a simplified version of it. The core logic is the same. I highly recommend reading tinysearch What Does The Search Feature Looks Like? Very simple: Users type anything in the search input. The search engine searches the keywords in all the contents and finds the most relevant articles. UI displays a ranked search result list. You can try out the search function on the ! Articles page A Little Bit of Stats At the time of writing this article, there are: 7 articles (more to come🚀) 13,925 words 682KB of data files (generated by Contentlayer) For the full-text search to work for static sites that are priming for speed, the code size has to be small. How Does WebAssembly Full-text Search Function Work? Most . They are able to run native WebAssembly code and binary alongside JavaScript. modern browsers now support WebAssembly The concept for the search function is straightforward. It takes in a query string as a parameter. In the function, we tokenize the query into search terms. We then give a ranking score to each article based on how many search terms does it contain. Finally, we rank the articles by relevancy. The higher the score, the more relevant it is. The flow looks like this: Scoring the articles is where the most computing comes in. A naive approach would be transforming each article into a hash set that contains all the unique words in the article. We can calculate the score by simply counting how many search terms are in the hash set. You can imagine that this is not the most memory-efficient approach with a hash set. There are better data structures to replace it: . xor filters What are Xor Filters? are relatively new data structures that allow us to estimate whether a value exists or not. It's fast and memory-efficient so it's very suitable for full-text search. Xor filters Instead of storing the actual input values like a hash set, xor filters store fingerprints (L-bit hashed sequence) of input values . When looking for whether a value exists in the filter, it checks if the fingerprint of the value is present. in a specific way However, Xor filters have a couple of trade-offs: Xor filters are probabilistic and there's a chance false-positive can happen. Xor filters are not able to estimate the existence of partial values. So in my use case, the full-text search will only be able to search for complete words. How Did I Build the Xor Filters with Rust? Since I had the article data generated by Contentlayer, I constructed the xor filters by feeding them with the data before the WebAssembly is built. I then serialized the xor filters and stored them in a file. To use the filters in the WebAssembly, all I needed to do was to read from the storage file and deserialize the filters. The filter generation flow looks like this: crate is a good choice for xor filters implementation because it offers serialization/deserialization and a few features that improve memory efficiency and false-positive rate. It also provides a very handy struct for my use case to construct a xor filter with a slice of strings. I profiled the performance with and collected some data: web-sys number of searches: 208 min: 0.046 ms max: 0.814 ms mean: 0.0994 ms ✨ standard deviation: 0.0678 On average, it takes less than 0.1 ms to perform a full-text search. It's pretty snappy😎 Final Thoughts After some experiments, I was able to build a fast and lightweight full-text search with WebAssembly, Rust, and xor filters. It integrates well with Next.js and static site generation. The speed and size come with a few trade-offs but they don't have a big impact on the user experience. Ere now it has been related how Ahab was wont to pace his quarter-deck, taking regular turns at either limit, the binnacle and mainmast; but in the multiplicity of other things requiring narration it has not been added how that sometimes in these walks, when most plunged in his mood, he was wont to pause in turn at each spot, and stand there strangely eyeing the particular object before him. When he halted before the binnacle, with his glance fastened on the pointed needle in the compass, that glance shot like a javelin with the pointed intensity of his purpose; and when resuming his walk he again paused before the mainmast, then, as the same riveted glance fastened upon the riveted gold coin there, he still wore the same aspect of nailed firmness, only dashed with a certain wild longing, if not hopefulness. But one morning, turning to pass the doubloon, he seemed to be newly attracted by the strange figures and inscriptions stamped on it, as though now for the first time beginning to interpret for himself in some monomaniac way whatever significance might lurk in them. And some certain significance lurks in all things, else all things are little worth, and the round world itself but an empty cipher, except to sell by the cartload, as they do hills about Boston, to fill up some morass in the Milky Way. Now this doubloon was of purest, virgin gold, raked somewhere out of the heart of gorgeous hills, whence, east and west, over golden sands, the head-waters of many a Pactolus flows. And though now nailed amidst all the rustiness of iron bolts and the verdigris of copper spikes, yet, untouchable and immaculate to any foulness, it still preserved its Quito glow. Nor, though placed amongst a ruthless crew and every hour passed by ruthless hands, and through the livelong nights shrouded with thick darkness which might cover any pilfering approach, nevertheless every sunrise found the doubloon where the sunset left it last. For it was set apart and sanctified to one awe-striking end; and however wanton in their sailor ways, one and all, the mariners revered it as the white whale’s talisman. Sometimes they talked it over in the weary watch by night, wondering whose it was to be at last, and whether he would ever live to spend it. Now those noble golden coins of South America are as medals of the sun and tropic token-pieces. Here palms, alpacas, and volcanoes; sun’s disks and stars; ecliptics, horns-of-plenty, and rich banners waving, are in luxuriant profusion stamped; so that the precious gold seems almost to derive an added preciousness and enhancing glories, by passing through those fancy mints, so Spanishly poetic. It so chanced that the doubloon of the Pequod was a most wealthy example of these things. On its round border it bore the letters, REPUBLICA DEL ECUADOR: QUITO. So this bright coin came from a country planted in the middle of the world, and beneath the great equator, and named after it; and it had been cast midway up the Andes, in the unwaning clime that knows no autumn. Zoned by those letters you saw the likeness of three Andes’ summits; from one a flame; a tower on another; on the third a crowing cock; while arching over all was a segment of the partitioned zodiac, the signs all marked with their usual cabalistics, and the keystone sun entering the equinoctial point at Libra. Before this equatorial coin, Ahab, not unobserved by others, was now pausing. “There’s something ever egotistical in mountain-tops and towers, and all other grand and lofty things; look here,—three peaks as proud as Lucifer. The firm tower, that is Ahab; the volcano, that is Ahab; the courageous, the undaunted, and victorious fowl, that, too, is Ahab; all are Ahab; and this round gold is but the image of the rounder globe, which, like a magician’s glass, to each and every man in turn but mirrors back his own mysterious self. Great pains, small gains for those who ask the world to solve them; it cannot solve itself. (tell us your story) Infinify helps product leaders and their companies grow. We provide product-market fit strategic consulting and specialized mentoring services, alongside our flagship program the CPO Bootcamp. I founded the company since I saw firsthand how challenging the role of the product leader is, and how little resources they have to power their growth. The product leader’s manager (e.g. the CEO) is typically not a product person and cannot guide them professionally. On the other hand, their role is so critical to the company’s success that it must be performed in the best possible manner. It is my personal passion and mission to help product leaders grow and take their companies to new heights. 2. Tell us more about the things you create / write / manage / build! Furthermore, we offer ‘Deep Product,’ the blog that reveals insights and advice from the deeper layers of product leadership. 3. How did you end up on your current career path? Do you like it? I was an R&D manager on my path to becoming a VP someday when I found myself in the product field quite by chance and simply fell in love. In 2005, after many years of being involved in R&D for several companies, I joined Attunity (later acquired by Qlik for $560 million) as development manager for a new product they wanted to build. My manager gave me detailed instructions on what to do, but I kept asking why. After some market research, I returned to him and said that what they were asking me to do would not achieve the goal they were striving for. After asking a lot of questions and getting detailed answers from me, he was convinced. The project’s resources quadrupled in order to support the new direction, and once the product was released, it was a huge success. Long story short, this experience opened me up to a new and fascinating world that led me to change direction and become a product leader. As luck would have it, at the time I entered the product field, ‘product manager’ was considered a very senior position, which allowed me to experience a wide range of challenges. I managed one of Imperva’s two products at the time, with an end-to-end guarantee on the roadmap, and direct involvement in the results, i.e. sales of the product. I led the product for 3 years until an IPO of close to half a billion dollars in 2011. I then moved to eBay, where I founded and managed the product management group at the company's development center in Israel. My team of professionals and I, established a very strong development group that led to the transfer to Israel. The transfer included significant parts of the company's Structured Data group, allowing us to produce and manage notable business insights based on working with Big Data on a scale not yet seen in Israel. After serving as a startup mentor in various programs, I joined Twiggle during their seed phase, when their technology still had no product. During my time there, Twiggle grew to nearly 100 people as we raised another $15 million owing to my personal involvement. We then started selling the product to some of the largest eCommerce companies in the world. In 2017 I recognized a gap in the understanding and application of the strategic role of the person leading the product in the company and started my own consulting firm. Since then, I have been accompanying product leaders and company executives in strategic processes that change their entire company's view of the market -- helping senior product people succeed in this all too complex and important role. 4. What tech are you most excited or passionate about right now and why? The revolution of the medical field with the help of technology. Specifically, what big data and AI can do for medicine as we know it today. The ability to learn from the knowledge accumulated from humanity as a whole instead of just your local doctor is exhilarating.  It has the potential to provide better care for everyone on the planet. 5. What tech are you most worried about right now and why? Not so much tech, but rather how tech is used for fake news, violence, and hate speech. I have three young daughters, and I’d like to see them able to navigate safely in the world of social media. 6. If we gave you 10 million dollars to invest in something today, what would you invest in and why? Following my answer to the previous question, I would invest in technologies that help keep our children safe online. This includes both education and prevention. Technology is awesome, and I love that my daughters are experiencing it early on. However, to allow them to experience it freely and fully we must make sure they are safe. 7. What are you currently learning? I’m currently learning about how to scale your business without compromising quality. So far, if I tried really hard, I was able to win on both fronts - not only make my products more scalable, but make them much better at the same time. It takes some creativity as well as a ton of commitment, but it's doable. When it isn't, it's still worth the effort because this way, you have a better grasp of the real constraints and boundaries of your business. Now, it’s time to take it to the next level :-) 8. What’s the best advice you’ve ever given someone? Don't wait for an invitation to do product strategy, because you won't get it. Not because your managers don't want you to, but simply because they don't know how and what to ask. Often, when I talk to CEOs about the gaps they see with their product leaders, they say something like "I want my product leader to be more strategic". That's great, really, since that's a major part of the role. But when I ask them what they mean by that, or to give me examples of what they want to see, they don't know what to say. If they haven't worked with a great product leader before, they don't even know what to ask. It's on you as a product leader to educate them, so that the next time around, they will know exactly what it's like to work with a great product leader and set the bar for your successors. 9. What’s the best advice you’ve ever received? Whenever you talk to someone, start two levels back from what you think they already know. ==If you miscalculated and they know less than you think - this gets you covered. If they knew but don't quite remember - this helps to get them back up to speed quickly. == If they know more than you think, it’s still useful, as it helps them to make the context switch from their previous meeting or thought more smoothly. Today, with over 4 million women on the app, we want to share how our data and machine learning approach helped us grow. It’s been chaotic but it is now under control. Chicisimo offer automated outfit advice Our thesis: Outfits are the best asset to understand people’s taste. Understanding taste will transform online fashion If we wanted to build a human-level tool to offer automated outfit advice, we needed to understand people’s fashion taste. A friend can give us outfit advice because after seeing what we normally wear, she’s learnt our style. How could we build a system that learns fashion taste? We had previous experience with taste-based projects and a background in machine learning applied to and . We saw how a collaborative filtering tool transformed the music industry from blindness to totally understanding people (check out the story). It also made life better for those who love music, and created several unicorns along the way. music other sectors Audioscrobbler With this background, we built the following thesis: online fashion will be transformed by a tool that understands taste. Because if you understand taste, you can delight people with relevant content and a meaningful experience. We also thought that “o_utfits_” were the asset that would allow taste to be understood, to learn what people wear or have in their closet, and what style each of us like. We ended building the infrastructure to automate outfit advice: (i) a consumer app with an interface focused on capturing the right input and providing the right output; (ii) a data platform that automates the jobs of interpreting incoming data and providing the correct output to the delivery mechanisms; (iii) a dataset that reflects what people wear, what people own in their closet, and how people think, when they think about clothes; (iv) and an IP portfolio protecting all of the above. are going to make people’s lives better Machine learning and deep learning in fashion 1st Step: Building the app for people to express their needs From previous experience building mobile products, even in back then, we knew it was easy to bring people to an app but difficult to retain them. So we focused on small iterations to learn as fast as possible. Symbian We launched an extremely early alpha of Chicisimo with one key functionality. We launched under another name and in another country. You couldn’t even upload photos… but it allowed us to iterate with real data and get a lot of qualitative input. At some point, we launched the Chicisimo, and removed this alpha from the App Store. real We spent a long time trying to understand what our true levers of retention were, and what algorithms we needed in order to match content and people. Three things helped with retention: Releasing changes into the app. (we use for this). We run cohorts not only over the actions that people performed, but also over the value they received. This was hard to conceptualize for an app such as Chicisimo*. We thought in terms of what specific and measurable value people received, measured it, and run cohorts over those events, and then we were able to iterate over value received, not only over actions people performed. We also defined and removed (all those noisy things that distract from the main value) and got all the relevant metrics for different time periods: first session, first day, first week, etc. These super specific metrics allowed us to iterate (* book discusses a framework to create habits that helped us build our model); (a) identify retention levers using behavioral cohorts Mixpanel anti-levers Nir Eyal’s Hooked: How to Build Habit-Forming Products . We define it as the process by which new signups find the value of the app as soon as possible, and before we lose them. We clearly articulated to ourselves what needed to happen (what and when). It went something like this: We also run tons of user-tests with different types of people, and observed how they perceived (or mostly didn’t) the retention lever; (b) re-think the onboarding process, once we knew the levers of retention If people don’t do [action] during their first 7 minutes in their first session, they will not come back. So we need to change the experience to make that happen. The data approach described above is key, but there is much more than data when building a product people love. In our case, first of all, we think that the is a very important one to solve, and we truly respect it. We obsess over understanding the problem, and over understanding how our solution is helping, or not. It’s our way of showing respect. (c) define how we learn. what-to-wear problem This leads me to one of the most surprising aspects IMO of building a product: the fact that, regularly, we access new corpuses of knowledge that we did not have before, which help us improve the product significantly. When we’ve obtained these game-changing learnings, it’s been by focusing on two aspects: how people relate to the problem, and how people relate to the product (the red arrows in the image below). There are a million subtleties that happen in these two relations, and we are building Chicisimo by trying to understand them. Now, we know that at any point there is something important that we don’t know and therefore the question always is: how can we learn… sooner? always This model helps us think. I understand that there are other models and this one might be controversial. Talking with one of my colleagues, she once told me, ”. And the truth is, from day one we’ve learnt significantly by having conversations with women about how they relate with the problem, and with solutions. We use several mechanisms: having face to face conversations, reading the emails we get from women without predefined questions, or asking for feedback around specific topics (we now use and its a great tool for product insight). And then we talk among ourselves and try to articulate the learnings. We also seek external references: we talk with other product people, we play with inspiring apps, and we that help us think. This process is what allows us to learn, and then build product and develop technology. “this is not about data, this is about people Typeform re-read articles At some point, we were lucky to get noticed by the App Store team, and we’ve been featured as App of the Day throughout the world (view Apple’s description of Chicisimo, ). On December 31st, Chicisimo was in a summary of apps the App Store team did, we are the pink “C.” in the left image below 😀. here featured The app got by 957,437 uniques thanks to this feature, for a total of 1.3M times. In our case, app features have a 0,5% conversion rate from impression to app install (normally: impression > product page view > install); ASO has a 3% conversion, and referrers 45%. viewed fashion needs 2nd step: Building the data platform to learn people’s The app aims at understanding taste so we can do a better job at suggesting outfit ideas. The simple act of delivering the right content at the right time can absolutely people, although it is an extremely difficult utility to build. wow Chicisimo content is 100% user-generated, and this poses some challenges: the system needs to classify different types of content automatically, build the right incentives, and understand how to match content and needs. We soon saw that there was a lot of data coming in. After thinking “ ”, we realized it was actually a nightmare because, being chaotic, the data wasn’t actionable. This wasn’t cool at all. But then we decided to start giving some structure to parts of the data, and we ended inventing what we called the Social Fashion Graph. The graph is a compact representation of how needs, outfits and people interrelate, a concept that helped us build the data platform. The data platform creates a high-quality dataset linked to a learning and training world, our app, which therefore improves with each new expression of taste. We believe that taste graphs are going to transform fashion, and . hey, how cool we are, look at all this data we have we’ve written about it here We thought of outfits as playlists: an outfit is a combination of items that makes sense to consume together. Using collaborative filtering, the relations captured here allow us to offer recommendations in different areas of the app. Screenshots of one of our patents. There was still a lot of noise in the data, and one of the hardest things was to understand how people were expressing the same fashion need in different ways, which made matching content and needs even more difficult. Lots of people might need ideas to go to school, and express that specific need in a hundred different ways. How do you capture this diversity, and how do you provide structure to it? We built a system to collect concepts (we call them ) and captured equivalences among different ways to express the same need. We ended up building a list of the world’s what-to-wear needs, which we call our ontology. This really cleaned up the dataset and helped us understand what we had. This understanding led to better product decisions. needs We now understand that an outfit, a need or a person, can have a lot of understandable , if you allow people to express freely (the app) while having the right system behind (the platform). Structuring data gave us control, while encouraging unstructured data gave us knowledge and flexibility. data attached Chicisimo The end result is our current system. A system that learns the meaning of an outfit, how to respond to a need, or the taste of an individual. And I wouldn’t even dare saying that this is Day 1 for us. Screenshot of an internal tool. Each Need has different data attached to it. It belongs to a certain category; it is correlated to other needs; it is attached to different types of outfits and shoppable products; it plays a certain role in the ontology… The amount of work we have in front of us is immense, but we feel things are now under control. One of the new areas we’ve been working on is adding a fourth element to the Social Fashion Graph: shoppable products. A system to match outfits to products automatically, and to help people decide what to buy next. This is pretty exciting. Shoppable sweaters currently available via a ShopStyle integration 3rd Step: Algorithms Back when we built recommender systems for music and other products, it was pretty (that’s what we think now, we obviously didn’t think that at the time:). First, it was to capture that you liked a given song. Then, it was to capture the sequence in which you and others would listen to that song, and therefore you could capture the correlations. With this data, you could do a lot. easy easy easy However, as we soon found out, fashion has its own challenges. There is not an easy way to match an outfit to a shoppable product (think about most garments in your wardrobe, most likely you won’t find a link to view/buy those garments online, something you can do for many other products you have at home). Another challenge: the industry is not capturing how people describe clothes or outfits, so there is a strong disconnect between many ecommerces and its shoppers (we think we’ve solved that problem. Also and are working on it). Another challenge: style is complex to capture and classify by a machine. Similar.ai Twiggle Now, deep learning brings a new tool to add to other mechanisms, and changes everything. Owning the correct data set allows us to focus on the specific narrow use cases related to outfit recommendations, and to focus on delivering value through the algorithms instead of spending time collecting and cleaning data. 👉 . People’s can become as actionable as metadata and possibly as transparent as well (?), and I think we can see the path to get there. As we have a consumer product that people already love, we can ship early results of these algorithms partially hidden, and increase their presence as feedback improves results. Some time ago when I started exploring blockchains, crypto, NFT, I started thinking about applications that can be decentralized. I had a very hard time coming up with a solution to decentralize Swiggy. When we think of how Swiggy works in a centralized world, there are 2 major phases. The first phase is that we place an order. The second phase is when the food is delivered by the delivery executive. Decentralizing the first phase This is similar to decentralizing any other application using a centralized database. First, we have to replace the centralized database with a blockchain. It might be tempting to store all the information about the restaurant and their food on a blockchain. But there is a problem, storing information on a blockchain is very expensive. Also, food prices keep changing from time to time, so storing volatile data on a blockchain is not a good idea. We have to store these data on a centralized database. And we need a user interface for the users. This application is to be served from a centralized server. Even the most popular web3 applications like UNISWAP, server their user interface from a centralized server. We can fetch the data from the centralized database about the restaurant and show it to the customer The orders should be placed using a smart contract by the customers. Customers need not worry about this, it will take place automatically in the user application when they place the order. Since we won't be using fiat currency in the blockchain world, we need to invent an token specifically for this purpose. Let's call it the 'ZOM' token. 75 Stories To Learn About Food Tech

Time is an essential part of our lives and our most valuable resource. It doesn’t matter if we are talking about personal or work-related plans. Frankly, it is usually not the plans that make the difference, it’s the planning. You can find dozens and dozens of different guides that will mostly just tell you about “life hacks” like “just be focused”, “keep yourself motivated” or “don’t pay attention to small tickets and do big ones first”. Don’t get me wrong, I don’t deny the value of  these assertions, but they lack constructive, practical steps. That is why I decided to create a guide for our , but it will also work for anyone who is searching for ways to increase their productivity. This specific guide is based on Toyota’s globally known Kanban, Parkinson’s Law, and the Action priority matrix, which I suggest that you use as guiding principles for managing your time. To make these principles applicable in practice, I collected some rules that I developed from personal and professional experience. Those will help you implement bigger principles in your daily routine. PMO 1. Keep a strong mentality If you are reading this article, chances are that you are already somewhat familiar with the , so, I won’t repeat the theory. Instead, I want to focus on the history, reasons, and especially outcomes, as they are pretty important for this guide. Kanban methodology In the late 1940s, Toyota's top management noticed that workers in their facilities were burning out, their efficiency was falling, and the suicide rate started to grow. The company started investigating the problem by learning more about the worker's daily routine, which involved attaching doors to car bodies. Each worker received a new batch of car doors every hour, regardless if they had finished attaching the previous door. As a result, many workers had new work being brought to them while they were still working on current tasks. This situation brought significant stress to each worker. All of them were under constant pressure as every work day, they couldn’t complete their work in time while more and more tasks appeared on the horizon. Additionally, mechanics could not see that their work had any results. This combination caused was quite fatal, literally. To solve this problem, Taiichi Ōno came up with a very simple solution that was inspired by the Wiggy Piggy supermarket chain that he observed in the US. He introduced a rule stating that no new portion of work should be started until the previous one was finished. He also advised attaching Kanban cards to every finished product, and once it was sold, the cards would move back to the production line. Team members could only work on the new item as the card signaling a demand for it moved back to them, and only once the number of pending Kanban cards reached a defined threshold. Every material used during production also had its own Kanban card attached so that the demand signal would ultimately flow down through the whole production chain, ending on external suppliers. This had huge success not only in improving the production line but also (what’s most important for this guide) in workers’ day-to-day routine, mental health, and understanding of how much important work they can finish every day. In my guide, I recommend using Kanban for these exact reasons. It will help you follow the first rule: Keep a strong mentality. 2. Always set deadlines This is how an essay published in The Economist in 1955 started. This law is not necessarily a time management technique per se, but it doesn’t mean that it can’t be helpful for us in the pursuit of optimizing personal workflows. has broad implications, but we can translate the law in simple words: the time taken to complete the work is directly proportional to the time available to complete it. Think about it for a second. How many times have you wasted hours just because the task was overestimated? How many times have you had a task that needed to be completed in a day, but you only did it in the very last hours? How many times have you sacrificed the quality of a task because it was underestimated and you were pressured by the deadline? The beauty of Parkinson’s Law is that we experience its outcome every day, and not necessarily in work-related issues. Parkinson’s Law The graph above demonstrates how the allotted time for a specific task influences the amount of effort that will be spent on it. You can see that too much time allotted causes you to procrastinate and only start working in the last minutes/hours/days, which means that you waste a lot of time doing nothing because the deadline was set way too far ahead. On the other hand, if the task is underestimated and the deadline is set too early, this will cause frustration, overtime work, and stress. That is why people will often sacrifice quality to pursue unrealistic deadlines. In this guide, I recommend that everyone follow this law while finding a sweet spot where you can execute different tasks within the most efficient timeframes. How to do that? Always follow the next three steps for your tasks: 2.1 Defining a deadline While I was still in college, I had a lot of lab work to be done each week. So, the deadline was five days for each lab. What I ended up doing at that time was leaving everything for the last day. I wasted all week, and on the last day, I’d focus, concentrate, and gather all my resources to finish the task. While this example still shows how unproductive I was, it also represents the crucial power of the deadline. Always set deadlines and never take tasks without any. 2.2 Work Execution As soon as you set the deadlines for your task, you have to concentrate your effort on its completion. Make sure that you spend almost all of your time on task execution. 2.3 Revise estimation After you finish your work, you need to step back and evaluate if the deadline was accurate. As simple as it sounds. If you felt a lack of time, then extend the deadline in the future for similar tasks. At the same time, if you accomplished something before the deadline or felt like you could’ve used your time more efficiently, just shorten the deadline next time. This will make you more productive. 3. Prioritize, delegate, and lay off For a long time, I used Eisenhower's Matrix to help me with prioritization. This means that I was using urgency and impact to prioritize my tasks, which is not bad. However,  the problem here is that it’s not that easy to determine urgency, and usually, it takes a lot of effort, especially for junior specialists. I still use Eisenhower's Matrix for long-term planning, but I have developed a different approach  for  day-to-day activities. Instead of Eisenhower's Matrix, I suggest using a similar approach: the Action Priority Matrix. The key difference between the two methods is their x-axis. The Action Priority Matrix suggests assessing effort rather than urges. Here is an example of what the matrix looks like. As you can see, depending on the Impact and Effort, you’ll be able to differentiate all your tasks into four types: — these are the most attractive tasks. Prioritize them as high as possible. “Quick wins” — tasks that give high returns but are very time-consuming. This guide will propose to always break it down into smaller parts. Often you will find that a Major Project can easily be divided into several Quick wins. “Major Projects” — you shouldn’t worry too much about these tasks. Do them if you have spare time. But usually, it’s much better to delegate them. “Fill-ins” — your time killers. Lay off these things before they start draining your precious time. “Thankless” This approach will allow you not only to plan and prioritize your tasks but also provide an infrastructure to limit them and cut them into smaller and, therefore, doable ones. Daily rules to help you follow the principles This section will answer the question: “So, how do I manage my day in practice?”. Let me mention a couple of rules that help implement the principles described above. Stop multitasking. Now, I know that many positions include multitasking skills in their description, at the same time as many specialists include them in their resumes. In this guide, I strongly advise focusing on one work item at a time. Spreading your focus, attention, and resources two several separate tasks at a time just causes a lack of work quality, leads to failed deadlines, and turns up the amount of pressure on you. As a result, you can find yourself in a stressful situation and overwhelmed with work, trying to decide what you need to do and spending way more time than you would by executing every task one at a time. To follow this rule, you need to set a limit for your “In Progress” column that equals one while using Kanban to manage your routine. 15-minute rule. This could look controversial, but in my experience, most of the issues that you receive in the work chats can simply be solved if you let them hang for a bit. Rush decisions never served any good. Besides, half the time, your colleagues who signaled a “disaster” will shortly message you with something like: “NWM, I already fixed it”. So, that’s the 15-minute rule that I use every day: don’t rush with answers to every issue and let your team members accumulate more information before taking any action. Work in iterations. Once again, I’d strongly advise doing daily planning. In this case, you’ll have to break down all your activities into pretty small chunks, which will be a bit of a pain in the ass at the very start. But once you get used to it, you will see all the advantages of this method. You can also adjust it to a weekly iteration. Always work iteratively, and remember that every iteration starts with planning and ends with analysis. Analyzing your estimates, the amount of work done and the flow of each iteration has the same, if not higher, importance than planning. So, never forget to run a retrospective on your activities. What I do in practice is daily planning sessions and weekly retro of my workflow. This puts me at a huge advantage in terms of flexibility. Also, I’m still able to adjust my estimates, prioritization, and prioritization while not spending too much time on it. Always break down your tasks if you can. Try to keep your tasks as small as possible to make you more flexible and avoid large estimates because the larger they are, the less accurate they will be. “Break stuff”. Treat your tasks like calendar time slots. This way, you will automatically assign a deadline for every task. Do not forget to include all your meetings as tasks as well. This will help you to understand when you have time for things. Always keep small spacers between tasks to let yourself adjust. You don’t want to be overwhelmed. Also, a nice thing to keep in mind while planning is that morning is the time when the body is capable of doing the most, and it would be a good idea not to waste this time and spend it doing the most. Task-to-Slot Conversion. First of all, create a kanban board for yourself to track your activities. Any board should work (e.g. Jira Notion, Monday, Asana, etc.); you can even have an actual board with sticky notes or use a notepad as long as you don’t need to spend too much time maintaining it.  My personal preference since recently is the TickTick service. I particularly like it as it allows you to add your tasks as calendar slots. If you are using something else, just make sure that you set estimates, mark time spent (for future analysis), and treat your To-Do column as a separate day in your calendar. You should spend 5-10 min every morning filling that column with tasks. Don’t forget to actually update your board daily and always come back at least once a week to analyze your results, adjust estimates and acknowledge all the completed work. Use task management tools. Expected Results If you manage to follow all the rules and apply the principles to your daily routine, I guarantee that you’ll be able to become much more productive, and less stressed and will notice that you still have plenty of time for side activities. I’m constantly using this guide myself and updating it from time to time. At this moment, it helps me input 65–70 hours of work on a weekly basis and still find time for personal activities and hobbies. I hope you found this guide helpful and that it will serve you well.
